Terms & Conditions
These terms and conditions apply to the registration process for the EUBCE Annual Event 2023 from 5-8 June.
By registering to attend the EUBCE 2023, you are agreeing to the following terms and conditions. We invite you to read these carefully:
You can register for the event online at EUBCE 2023 Registration.
We cannot take responsibility if bookings made through other methods do not reach us.
When you complete your registration online you will receive your registration confirmation by e-mail. Please print confirmation of payment and bring it with you to the welcome desk.
If you do not receive the confirmation e-mail, please check your spam folder. If you still cannot find the confirmation e-mail, please contact the Registration Secretariat at registration@etaflorence.it
By registering, you are also confirming that the information you submit is accurate and complete.
Registrations are made at your own risk and we cannot take responsibility for registrations booked in error. This responsibility lies with your organisation, or you if you are booking as a private individual.
Badge
The name badge should be picked up onsite at the welcome desk.
The registration desk will be located at the entrances to the Bologna Congress Center
Piazza Costituzione, 4/a, 40128 Bologna and will be open during the following hours:
- Monday, 5 June, 08.00 – 18.00
- Tuesday, 6 June, 08.00 – 18:00
- Wednesday, 7 June, 08.00 – 18:00
- Thursday, 8 June, 08.00 – 15.00
For organizational and security reasons, the name badge must be visible all times during the event.
Onsite Registration
To avoid long waiting times and crowding in the entrance area, we discourage onsite registration at the event.
Name Change
Name change is permitted free of charge. The substitute must work for the same company as the original delegate, must be in the same registration category (or additional fees may apply) and invoicing information must be the same. Name changes must be notified in writing to registration@etaflorence.it, with full contact details of the substitute. Once the event has started, a name change is no longer allowed.
Payment methods
Credit card
- Accepted credit cards: Visa, MasterCard.
- The online registration system uses secure encryption to protect your card and personal details.
Bank Transfer
Please mention invoice number, name(s) of participant(s) and your organisation.
Cheques are not accepted.
Note
- At the end of the registration process You will receive an invoice
- Access to the event will not be provided unless all fees are paid.
- All costs are to be borne by the ordering customer.
- Registration fees are based on the date of receipt of payment.
- The prices indicated are valid per person and are applicable only if both the online registration and the payment are received by the mentioned deadlines. Otherwise, the higher registration fees will apply.
- After successful registration and payment, you will have direct access to your receipt in the user area.
- After your participation in the EUBCE 2023 you will have direct access to your letter of attendance in the user area.
- To enable queries, do not forget to quote your phone number and your e-mail address.
Cancellation/Refund Policy
In case of cancellation before 14 April 2023, 50% of the registration fee will be refunded. No refunds are possible thereafter.
- Bank service charges will be deducted from the refundable amount
- All refunds will be processed after the Conference
- Any refund to credit card payments may only be credited back to the original credit card and cannot be refunded to a different card or bank account
Visa Invitation Letter
An invitation letter will only be provided to registrants who have registered and paid the required registration fees. Registrants who need an official invitation letter in order to obtain a visa should ask this immediately during the registration process or send their request to the For any questions, please contact us at registration@etaflorence.it with the following information: registration number, first name, last name, birth date, country of origin, passport number, passport issue date and passport expiry date. The invitation letter is sent by e-mail. If the visa invitation letter needs to be originally signed and stamped by EUBCE, please note that it will be sent by via standard post. In case an express delivery is needed, the registrant shall arrange pick-up of the document on his/her own and will be responsible for all associated costs. EUBCE does not assume any costs for express delivery.
Photographs and videos
EUBCE reserves the right to photograph and videotape the conference and social events and all its attendees and to use these photographs and videos in any internal and external communication related to EUBCE including, but not limited to, its websites, social media, conference programme, newsletters, and publications.
By registering for the event, the registrant explicitly agrees to the use of his/her image in any EUBCE publicity material without any compensation in perpetuity. Any personal data will be solely used in accordance with current EU and Italian data protection legislation.
Data Protection
By registering for this event, you (the registrant) agree that your personal data will be processed by ETA srl (Via Antonio Giacomini 28, 50132 Firenze, Italy) for registration purposes, as well as to send you information in connection with all ETA events. Any personal data will be solely used in accordance with current EU and Italian data protection legislation and will not be disclosed to a third party without the registrant’s written consent. If you do not submit the data indicated as “required”, we cannot complete your registration. Please refer to EUBCE’s Data Protection Policy which you can consult at https://www.eubce.com/legal/
Your personal data may be used for the purposes of contact tracing for COVID-19.
Rights of ETA as Organizer
ETA may validly, without liability to the participant, modify all aspects of EUBCE 2023 other than the dates (5- 9 June 2023) if, in its opinion, the purpose of EUBCE 2023 can be attained by such modifications.
Disclaimer
Although ETA will use its reasonable endeavors to ensure that services provided for the Conference are supplied, the supply of such services is not within ETA’s control, and so it shall not be liable in any way to the participant for any loss or damage if any of such services shall wholly or partially fail or cease to be available. The participant shall not be entitled to any allowance in respect of sums paid or due under this Agreement. ETA takes no responsibility for the acts or omissions of any supplier of products or services (exclusive or otherwise) to the participants (including without limitation the participants) or for inaccurate copy instructions. ETA shall have no liability to the participants for any loss or damage it may suffer as a result of any act or omission of such suppliers.
The Conference organiser cannot be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected. Should, for any reason outside the organisers’ control (e.g. political or economic circumstances or in the case of a ‘force majeure’) the venue or speakers change, or the event be cancelled, the organisers will endeavour to re-schedule, but shall not be held responsible for any costs, damages or expenses incurred by registrants. If for any reason the organisers decide to make material changes to this Conference, they are not responsible for airfares, hotels or other costs incurred by the participants. In cases falling outside of force majeure, ETA will try to provide adequate notice should ETA have to cancel or amend an event but reserves the right to amend or cancel an event at any time without liability for any travel, registration, accommodation or other costs.The customer takes part in the Conference, all tours and trips, at its own risk. Only written arrangements are binding. By taking part in this event you grant the Conference organisers full rights to use the images resulting from the photos videos filming. These images/videos could be broadcasted in the different digital channels with informative aims.
The validity, performance and interpretation of these general terms and conditions shall be governed by Italian law. Any dispute arising out of, or in connection with the validity, performance or interpretation of these general terms and conditions shall be submitted to the sole jurisdiction of the courts of Florence (Italy).
Registration of a participant entails acceptance of these conditions.
